Position Summary: The Administrative Assistant will be primarily responsible for maintaining the financial records of the organization, including payroll and payroll taxes, accounts receivables and payables, various reports as needed by the Executive Director and Program Staff, and the James River Park Fund. This position will also help to oversee day to day office tasks, such as ordering of office products for all staff, etc. This position will maintain the volunteer database for the Association, as well as interact with individuals regarding volunteer opportunities for all JRA related events. The Administrative Assistant will provide support for all staff members, assisting with a variety of tasks as needed, as well as serve as a back -up for the Events and Development Assistant. Attendance would be expected at all JRA events, including evening quarterly Board Meetings and evening/weekend Special Events.
Major Job Responsibilities:
Manage Bookkeeping, Volunteer and Filing Systems:
Prepare monthly bills and payroll checks, as well as oversee preparation of quarterly forms with our monthly accountant, and any other accounting duties necessary to the function of JRA
Prepare periodic financial reports for Executive Director and Program Staff
Create and oversee volunteer database and organize volunteers as needed for JRA events
Maintain confidentiality relating to database records, which include giving capacity and gifts
Maintain a central office calendar to include office-wide JRA events as well as other important
Association dates
Organize and maintain central filing system
Assist in Special Events and Projects
Assist with coordination of Board meetings and activities, as well as committee meetings and dates of these meetings
Assist with membership mailings and special events
Attend all JRA functions as requested by the Special Events and Projects Manager, including, but not
Limited to the quarterly Board meetings, and all Special Events
Perform other general office duties as assigned by Special Events and Projects Manager
Assist other programs as possible
Assist other JRA staff as directed by Special Events and Projects Manager
Assist as needed to support JRA mission
Be a positive enthusiastic ambassador for JRA, taking every opportunity to promote JRAs programs and services
Education/Experience/Skills/Qualifications:
Required: High school diploma; strong computer and data base knowledge; working knowledge of Microsoft Word, Excel, Quick Books and Power Point; excellent attention to detail
Preferred: Experience with non-profit organizations; specific knowledge in fund raising software, strong understanding and commitment to the environment and conservation issues.
